Certification Committee (Special)

 

Purpose     

To stimulate and encourage interest and participation in the:

o  Certified Administrative Professional® (CAP®);

o  Organizational Management Specialty (OM);

o  Microsoft Office User Specialist (MOS) program;

o  MCAS/MCAP (Microsoft Certified Application Specialist) (Microsoft Certified Application Professionals);

Guidelines

All efforts of the Certifications Committee should be guided by IAAP’s Vision, Mission, and Purpose statements (see Tab 1).

 

Responsibilities

1.      Recommendation:  Meet the first part of the fiscal year to determine timelines and delegate responsibilities. 

2.      Promote the certification programs at every appropriate opportunity by providing current members with adequate information and encouragement in seeking certification.

3.      Make potential members aware of the certification programs and their value in career development.

4.      Confer with the Program Chair and encourage a broad range of education and professional development programs at Chapter Meetings and seminars throughout the year.

5.      Coordinate with Program Chair and Seminar/Education Chair to organize and promote educational and professional development seminars/workshops that will increase the chapter’s visibility in the business community and generate additional revenue for the Chapter.

6.      Refer inquiries for literature and information to the Website. This would be in response to inquiries about Certification Application Packet, review course schedules, forms to order study aids, etc.)

7.      Maintain a library of study guide materials, for candidates to borrow, by soliciting current materials from members.

8.      Have certification literature available, answer questions and promote certification program at monthly meetings, IAAP education seminar, and other IAAP events

9.      Encourage interest in certification with informative table tents at a Chapter meeting at least once a year

10.  Work, as appropriate, with area vocational technical and community colleges on class schedules and information for IAAP members and other administrative professionals interested in sitting for and/or completing the certification exam. Keep lines of communication open with the instructor encouraging feedback and questions related to the certification exams.

11.  Submit expenses incurred to the Chapter Treasurer

12.  Set aside time on appropriate Chapter meeting agendas to promote and recognize new certification recipients and those that have recertified.

13.  Send congratulatory letters and invitations to new certification recipients to attend the recognition meeting (the Division President will have this information)   

a.       If some recipients are a Member-at-Large, work with Membership Committee to help recruit them as new members.

 

14.  Attend all Board meetings or provide a report to your Board representative prior to each Board meeting.

a.       Dates and location are noted in Tab 1 of this binder.

15.  Update your Committee binders with pertinent information and bring your binder with you to all Chapter and Board meetings that you attend 

16.  Ensure all documentation is in your binder before forwarding the binder to the newly selected committee chair at the transition meeting in July.

 

Timelines

 

Monthly

·        Tenth of Month – Updates due to the Newsletter, Publicity and Website Committee Chairs as needed.

·        Fourth Monday of the month – Committee Report due to your Board representative, unless you plan to attend the Board meeting on Tuesday.

·        Other deadlines as determined at your initial planning meeting.

 

July

·         Meet with all committee members to review committee description and delegate responsibilities.

·         Send letters of congratulations to those that passed the May exam and invite them to our August meeting (request names from chapter president)

 

August

·         Recognize May Exam Certification and recertification recipients at IAAP Chapter meeting

·         August 15 – Deadline for Certification exam application for the November exam.

 

January

·         Send letters of congratulations to those that passed the November exam and invite them to our February meeting (request names from chapter president)

 

February

·         Recognize November Exam Certifications and recertification recipients at IAAP Chapter meeting

·         February 15 – Deadline for Certification exam application for the May exam.

 

June

·     15th – Submit fiscal year-end report to Chapter President.

o   Form is located on our website (www.iaap-tulsa.org).

·        30th – All expenses for the fiscal year should have been submitted to the Chapter Treasurer.

July

·         Transfer binder to new committee chair at transitional meeting.

 

 



 

 

Best Practices

·        Have different people responsible to lead the different sections of a study group is an ideal way to set up a structured study group, particularly if you have a number of people interested in studying for the exam at the same tie.

·         Budget for marble paperweight or some other type of recognition gift.

 

NOTES:

Question: How can a Chapter find out who is sitting for the CAP/CAP-OM exams?

Answer:  We must rely on our members to share this information with us.  Headquarters does not provide this information to us as it is considered to be private.

 

Question:  How can we find out the names of the people who passed the exams?

Answer:  Headquarters provides to the Division a report -twice a year - in June and in December/January - which provides the names of those members who sat for and passed either the CAP or the OM exams.  I (Division President) then forward the information to the Chapter Presidents.

 

Question:  How can a Chapter find out who recertified?
Answer
:  The report Headquarters provides us twice a year also includes a list of those members that re-certified.  Other than the report we get from Headquarters twice a year, we must rely on our members to share this information with us.
